What to Do When a Supervisor or Asset Manager Leaves Their Role.

Steps to take when there is a change to an asset manager or supervisor.

If a supervisor or asset manager leaves or changes roles, here is what to do to help ensure work requests and assigned tasks don’t get missed.


While the outgoing person is still active, do these things:

  • Remove the individual as an asset manager
  • Add replacement asset manager
  • Update staff assignments
  • Reassign tasks
  • Inactivate user

Please note: Completing these functions requires you to have an administrator role in the system. 

Bulk Remove Asset Manager

If an individual is an asset manager to several assets, administrators can bulk remove them from the assets they manage.

You can find the Bulk Remove feature in the Setup Menu

If you have someone to take the outgoing supervisor or asset manager’s place, you can also bulk add a manager to multiple assets.

The Bulk Add feature is also in the Setup menu.

Update Staff Assignments

If the outgoing person has staff assigned to them, you want to change who those individuals are assigned to.

Go to the Setup Menu and Users. Choose a staff that is assigned to the outgoing individual.

In the Supervisor section, click the remove button next to the outgoing supervisor's name. Then, add the new supervisor this individual will report to by clicking Add Supervisor and choosing the appropriate name.

When adding a supervisor, if you don't see the new supervisor's name, make sure Is Asset Manager or Supervisor is set to Yes in their profile.

Reassign Upcoming Tasks

Make sure no tasks get missed by reassigning existing tasks.

To see an individual’s existing tasks, go to your Administrator’s Dashboard. To the left of the staff’s name, there is a white box with a number in it. The number represents upcoming tasks. Click on it a get a list of the upcoming tasks for the individual.

Reassign Individual Tasks

Click on a task from the upcoming tasks list. On an individual task, you will see a box that says Assigned to with a dropdown menu. Assign the task to another staff and then scroll down and hit save.

Note: Tasks from a scheduled task series can be bulk changed. You can see if a task is part of a scheduled task series by looking just below the name of the task. 

Reassign Scheduled Tasks

Got to the scheduled task series. You can do this by going to your Scheduled Tasks Dashboard or clicking on the Task from Scheduled Series link shown in the picture above.

In the select staff section, choose the appropriate staff. Then, scroll down and hit the Update Scheduled Task Series button. This will change the staff for all upcoming scheduled tasks in this series.

Inactivate User

You are now ready to inactivate the user. Go to the Setup Menu and then select Users. Choose the individual you are going to inactivate. 

In the Status section, choose Inactive. Then, in the Is Supervisor or Asset Manager, choose No. Scroll down and click the green Update User button.
